One of the topics we're hearing about most right now is shadow AI.
What is shadow AI?
Shadow AI is when employees use AI tools that IT hasn't approved, often without IT even knowing. It usually starts with good intentions. Someone wants to write a proposal faster or summarize a long report, so they open whatever chatbot they found online and paste in the details.
The problem is what gets pasted.
Why shadow AI is a real risk
- Sensitive data leaves your control. When company information goes into a random public chatbot, you no longer control where it ends up. Client details, financials and internal plans can find their way into places they were never meant to go.
- Knowledge gets scattered. Useful AI work ends up spread across a handful of personal accounts and apps. When someone leaves, that work leaves with them.
- Costs creep up. Teams expense or sign up for subscriptions the company doesn't need, often for tools that overlap with what you already pay for.
Banning AI doesn't work
The instinct is often to lock everything down. But if people find AI useful, a ban just pushes it further out of sight. Shadow AI exists because people want to work faster. That's not a bad thing. They just need a safe way to do it.
Give them one secure home
Taming shadow AI isn't about making it hard for teams to get work done. It's about giving them one safe, secure place to do their best work.
For organizations on Google Workspace, that place is Gemini. It brings AI right into the digital workspace your team already uses, inside the environment your IT team already manages. That keeps company data in one place, keeps costs under control, and keeps knowledge where the whole team can find it. If people are worried about privacy inside that environment, our guide Can Google Workspace admins view user emails? explains what admins can and can't see.
Three steps to tame shadow AI
- Find out what's being used. Ask your team which AI tools they rely on and what they use them for. You'll learn a lot.
- Provide an approved option. Make sure the AI built into your workspace is turned on and set up properly.
- Set clear guidelines and train people. Explain what data can and can't go into AI tools, and show people how to get great results from the approved one.
Quick recap
- Shadow AI is unapproved AI use, usually by people trying to work faster.
- The risks: leaked data, scattered knowledge and extra subscriptions.
- Bans push it further underground.
- The fix is one approved, secure option, plus clear guidelines and training.
